Booking and date selection
Advance registration is required. A One-Time Pass reserves one available Saturday. A Four-Visit Pass reserves the first Saturday at purchase; the remaining visits are booked separately and must be used within 90 days of purchase. Every reservation is subject to capacity and availability. A place is confirmed only after payment and a booking confirmation are received.
Date changes
Each booking includes up to two family-requested date changes, subject to availability. Changes must be requested at least 48 hours before the scheduled session. Changes requested with less notice, missed sessions, and unused visits are not eligible for replacement dates. A date changed by GCS does not count toward the family’s two permitted changes.
Non-refundable payment policy
- All registration fees and passes are final and non-refundable, except where a refund is required by law.
- For an eligible change requested at least 48 hours in advance, GCS may transfer the visit to another available date or issue GCS program credit.
- Four-Visit Passes expire 90 days after purchase. Program credits expire 90 days after issuance, have no cash value, and cannot be redeemed for a refund.
- An eligible unused visit may be transferred to a sibling with advance GCS approval when the sibling meets the program’s age, enrollment, and health-documentation requirements.
- Illness, travel, schedule conflicts, late arrival, early pickup, unsafe behavior, missed sessions, and cancellations made with less than 48 hours’ notice do not qualify for a refund, transfer, or credit.
- If GCS cancels a session, the family will receive a transfer to the next available visit or GCS program credit. No cash refund will be issued except where required by law.
Program changes and closures
Activities may change based on age, group needs, staffing, materials, or safety considerations. If severe weather, a building issue, public emergency, or another circumstance beyond GCS’s reasonable control makes operation unsafe, GCS may delay, reschedule, relocate, or cancel the session. Families will be notified using the contact information supplied at enrollment.
Arrival, attendance, and pickup
Families should arrive about 10 minutes before the 9:00 AM start. A child may be released only to a parent, guardian, or adult listed as authorized for pickup. GCS may request government-issued photo identification. Parents must notify GCS in writing about custody restrictions and provide any applicable court order.
Pickup is promptly at 1:00 PM. The late-pickup fee is $15 for a delay of 1–15 minutes, plus $15 for each additional 15-minute period or portion thereof. Repeated late pickup may result in suspension from the program without a refund.
What to bring
- A labeled water bottle
- A complete labeled change of clothes
- Diapers, wipes, and other toileting supplies, when needed
GCS provides one snack. Please do not send food unless GCS has approved it for a documented dietary or medical need. Label all personal belongings; GCS is not responsible for lost or damaged items.
Toileting and diapers
Children do not need to be toilet trained. Parents must provide sufficient labeled supplies and share any relevant routines or support needs. Staff will provide age-appropriate assistance consistent with program procedures, staffing, privacy, and safety.
Illness and attendance
Children should stay home when illness prevents comfortable participation, requires more care than staff can safely provide, or may expose others to a contagious condition. A child should not attend with fever, repeated vomiting or diarrhea, difficulty breathing, unusual lethargy, or an unexplained rash with fever or behavior change.
If a child becomes ill, GCS will contact the parent, guardian, or emergency contact for prompt pickup. In an emergency, GCS may contact emergency medical services first. GCS may require medical clearance before a child returns. A missed session due to illness follows the cancellation and date-change policy above.
Allergies, medical conditions, and medication
Parents must disclose allergies, dietary restrictions, medical conditions, disabilities, medications, emergency action plans, and support needs during enrollment and promptly report changes. If the enrollment form indicates an allergy or medical need, GCS will send the appropriate additional forms, which must be completed and approved before attendance.
Medication will be accepted or administered only by trained staff after GCS approves the arrangement and receives all required consent forms, written instructions, original labeled medication, and applicable health care plans.
Snack and food-allergy notice
GCS provides one snack prepared through its certified, nut-free kitchen. Food sharing is not permitted. Families must disclose all allergies and dietary restrictions because, despite reasonable precautions, an entirely allergen-free environment cannot be guaranteed.
Behavior and safe participation
GCS uses positive, age-appropriate guidance. GCS may pause an activity, request early pickup, or end participation when a child’s behavior creates an immediate safety risk or the program cannot safely meet the child’s needs with available staffing and the setting. Whenever reasonably possible, GCS will communicate with the family and consider appropriate supports first.
Inclusion and accommodations
GCS welcomes children of different abilities and needs. Families should request accommodations as early as possible. GCS will discuss reasonable supports and may request information needed to plan safe participation.
Activities and supervision
The program includes age-appropriate cooking, arts and crafts, movement, games, dancing, bubbles, and indoor play. Activities involve ordinary risks such as spills, minor cuts, falls, contact with art or food materials, and physical activity. The program does not include outdoor walks, off-site activities, or transportation. Staffing is adjusted to the enrolled age mix using a plan of one staff member for every four two-year-olds and one staff member for every ten children ages 3–8.
Photography and media
Photography and promotional use are not required for participation. The enrollment form allows a parent to approve or decline use of the child’s image. Parents and visitors may not photograph or record other children without permission.
Privacy and records
GCS collects information reasonably needed to register, communicate with, bill, and safely care for participating children. Enrollment records are accessible only to authorized GCS personnel, with essential safety information shared with authorized program staff or emergency responders when necessary. Program records are retained for two years after the child’s final program date and then securely disposed of unless a longer period is required by law. Please also review the GCS Privacy Policy.
Parent authority and electronic acceptance
The enrolling parent or guardian confirms that they are authorized to register the child, grant permissions, and identify authorized pickup persons. Families are responsible for keeping contact, medical, custody, and pickup information current. Electronic acceptance and signatures acknowledge these policies and permissions.
